School on Wheels is a nonprofit organization made up of hundreds of volunteers, who give their time, talents, and support to the educational needs of children experiencing homelessness. Founded in 1993, the mission of School on Wheels is the enhancement of educational opportunities for children without a home, from kindergarten through the twelfth grade. Our goal is to shrink the gaps in the education of these children and provide them with the highest quality education possible.

Job Summary: 

This role involves managing the office, supporting donors, and assisting with various tasks at the learning center, including student intake, after-school support, and coordination. The position is based at our Skid Row Learning Center located at 7th and San Pedro in Downtown LA. The main focus of the role is working closely with volunteers, students, and parents.

Major Responsibilities:

  • Welcoming and assisting students and parents as they arrive.
  • Work with the team responsible for organizing and maintaining all facilities, setting up meetings, and Board/staff lunches.
  • Answer telephone and provide mail, filing, and record-keeping support; ensure that electronic and paper files are organized and current.
  • Provide administrative support, including processing letters, gathering information, and sending mass mailings.
  • Reserve meeting and appointment space through the use of online calendars.
  • Provide general support to visitors, including volunteers, staff, and donors.

Facility Duties:

  • Manage all general administration activities to ensure efficiency and economy, including facilities and equipment maintenance.
  • Maintain a clean environment for the students, tutors, and staff at the learning center.
  • Manage the partnership with the LA Food Bank ensuring the meals for the students are delivered to the center each day.

Donor Administration:

  • Responsible for accepting and recording material donations into the database.
  • Assist donors with loading and unloading all material donations.
  • Organize storage areas with material donations and maintain orderly storage space.
  • Ensure that material donations distributed and received are accurately recorded.

Learning Center Duties:

  • Provide information about the learning center’s programs, services, and policies.
  • Assist with the completion of registration forms, enrollment paperwork, and field trips.
  • Address concerns from students and their families regarding the program offerings and support services.
  • Maintain accurate records of enrollment and provide resources for families exiting the program.
  • Collaborating with community organizations and schools to recruit and enroll new students.
  • Assist the learning center team in creating engaging and interactive learning activities and materials to supplement classroom instruction.
  • Skill variety: you will have the opportunity to work on a variety of tasks to develop your skills in many areas.

Qualifications:

  • Bilingual – Spanish/English.
  • A minimum of 1 year of experience in office management is required.
  • Technology experience, including Google applications and databases, is a plus.
  • Ability to plan and prioritize workflow and meet deadlines.
  • Ability to perform in a team environment while working independently.
  • Excellent oral, written, and presentation communication skills are a must.
  • Interest in working for a mission-driven nonprofit organization and exemplifying the organization’s values, integrity, and ethics.
  • Must pass a Livescan Fingerprint background check

Salary and working conditions:

  • Salary – $20 to $22/hr with competitive benefits
  • The schedule may involve weekday shifts during typical office hours, with occasional evenings or weekends for events, meetings, or special programs. Flexibility in scheduling may be required to accommodate the needs of students, volunteers, and parents.
  • The role may involve a combination of administrative duties (such as office management and donor support) and hands-on support in the learning center (such as student intake and tutoring). Expect a diverse workload that requires multitasking and adaptability.
  • While the job is primarily office-based, it may involve some level of physical activity, such as moving supplies or setting up equipment for events or activities. Additionally, prolonged periods of standing or sitting may be required during tutoring sessions or other activities.
  • Given the location in Skid Row, awareness of safety protocols and sensitivity to the surrounding community’s needs and challenges are important aspects of the working conditions.
